
From Chaos to Clarity: Automating Internal Communication in a Remote Team

Remote work brings freedom, flexibility, and focus. But it also brings communication challenges. Teams are often spread across time zones, using a mix of tools to stay in sync. Over time, updates get lost, misalignments grow, and productivity suffers—not because of lack of effort, but because of information overload and manual follow-ups.
That was the reality for a remote-first design agency with team members across Europe and Asia. Project status updates, standup notes, and shift handovers were being handled through Slack messages, Notion docs, and spreadsheets, each used inconsistently. Important updates were often missed, causing delays and unnecessary check-ins.
Looking to bring structure without micromanagement, the agency turned to COREDE.
Mapping the Gaps
Together with COREDE, the leadership team identified three recurring communication issues:
• Project updates were shared in Slack but not logged anywhere
• Daily standup notes were forgotten or submitted late
• Handovers between time zones often lacked enough context
Rather than enforce more rules, they wanted a solution that would work in the background and keep everyone informed automatically.
Building Smart Flows
With COREDE Flow Engine, they implemented three targeted automations:
• A daily reminder in Slack prompted each team to submit a short status
• Submitted updates were collected into a shared Notion board, automatically sorted by project and date
• When a team member ended their shift, a short form triggered a summary message for the next time zone team, sent via Slack and email
Each flow was lightweight but impactful. No new tools were introduced. Existing ones were simply connected.
What Changed
Within weeks, the change was noticeable:
• Missed updates dropped significantly
• Managers spent less time chasing updates
• Shift transitions became smoother
• Everyone felt more connected, without more meetings
A team lead summarized it clearly:
We didn’t need more meetings. We needed more visibility. COREDE gave us that, without adding to our workload.
